Your client can leave in 30 days. Your software bill has another nine months to run. That difference belongs in the sales approval, even when the account has an attractive monthly margin.

For a $1M–$10M MSP, the dangerous number is the cost that remains after client revenue stops. A subscription billed monthly may still carry an annual commitment. Billing frequency and cancellation rights are separate facts.

This isn't an argument against annual licenses. It's an argument for pricing, collecting, or deliberately funding the mismatch.

Read the term, not the invoice

Its current license-based subscription guidance describes a seven-day, 168-hour cancellation window at the start of a term, except where law requires otherwise. After that window, the partner remains billed for the full term even if its customer stops using or paying for the service.

Put a dollar value on the gap

Take this hypothetical account:

While active, the account contributes $2,000 monthly before shared overhead: $6,000 less $2,400 less $1,600.

If the customer leaves and no contractual recovery is collectible, the remaining software obligation is $14,400. It takes 7.2 months of that account's former $2,000 contribution to equal the stranded obligation.

Do not call $14,400 the entire customer-loss cost. Unpaid receivables, notice-period collections, offboarding work, and reusable capacity need their own lines. This is the specific vendor exposure, measured at the departure date.

Nor should you deduct all future labor automatically. Salaried technicians may remain on payroll even when the account disappears. Only a cost that actually stops is an avoided cash payment.

Make sales quote the right product

Three structures can reduce the mismatch. Match the customer's license term to the vendor obligation where commercially appropriate. Collect enough upfront to fund the commitment. Or buy a shorter vendor term and charge for the flexibility.

Each has a tradeoff. An annual customer promise may reduce sales conversion. Upfront cash can create refund and performance obligations. A flexible vendor product may cost more.

Run those choices on contribution and cash, not only headline revenue. If monthly vendor flexibility costs an extra hypothetical $180, paying $2,160 annually might be sensible for a volatile customer. It might be wasteful for a stable customer willing to accept the annual term.

Build a renewal register someone owns

For each customer and vendor subscription, record the renewal date, cancellation window, committed quantity, billable quantity, vendor cost, client recovery clause, and internal decision deadline.

Set the internal deadline before the vendor deadline. A renewal decision that requires three approvals cannot begin on the last cancellable day.

The review should also identify seats added during the term. Do those additions align with the existing renewal or create a separate commitment? The answer comes from the relevant product terms and order records. A spreadsheet assumption cannot amend a contract.

Assign one person to confirm the purchase and one to confirm the customer's commercial terms. That short handoff prevents sales from describing flexibility the purchasing team never bought.

Track exposure alongside gross margin

Add two views to the account report:

Remaining vendor commitment: payments still owed under the vendor terms.

Uncovered commitment: the portion not covered by collectible client commitments, usable prepayments, or documented permitted reassignment.

Be cautious with reassignment. A seat that looks reusable technically may not be transferable commercially. Count recovery only after checking the applicable terms.

For a portfolio, show the biggest uncovered accounts and the upcoming renewal clusters. Ten clients renewing in the same week can create a larger cash decision than their individual account reports suggest.
